    POSITION SUMMARY:

     

    This position is responsible for providing administrative support, with strict adherence to confidentiality and oriented to maximizing the effectiveness of the Company Officer. Provide administrative support as directed to include heavy phones, calendar management, coordinating group meetings and preparing expense reports. This is a demanding, but rewarding opportunity supporting a Company Officer.

    Responsibilities

    ESSENTIAL RESPONSIBILITIES:

     

    • Answer and screen needed executive level calls for urgency, set priorities, take accurate messages and channel them to the proper contact individual
    • Plan, coordinate and participate as directed in meetings and other off-site meetings
    • Coordinate, confirm, and track travel or lodging arrangements to include arranging transportation to and from destinations
    • Schedule, verify and participate as necessary in meetings and appointments including making travel arrangements and accommodations for attendees, preparing conference rooms and arranging meals
    • Copying, typing, sending/receiving and distribution emails, sort, distribute and respond to mail, send certified mail, screen calls, greet visitors, answer phones, set up and maintain file system, inter office mail, overnight mail, frequently check out box and process work, etc.
    • Research and compile reports, proposals and presentation materials
    • Adhere to all company policies and procedures
    • Adhere to and comply with information systems security policy
    • Track and maintain PTO records and requests for the company officer
    • Analyze and route internal and external calls to the proper resource
    • Receive, sort, facilitate dissemination of incoming mail and information to department personnel
    • Maintain, scan, and index various agreement files and documents retrieval system
    • Perform other duties as assigned

    Qualifications

    KNOWLEDGE AND SKILLS:

     

    To perform this job successfully, an individual must be able to perform each essential responsibility satisfactorily.  The requirements listed below are representative of the knowledge, skills and/or abilities required.

     

    • Strong working knowledge of Microsoft Word, Excel, Power Point, Access, Visio and Outlook required
    • Strong communication skills verbal and written required
    • Strong interpersonal skills required
    • Strong prioritization of time required
    • Information Technology support experience highly desirable
    • Healthcare industry experience (preferred)

     

    Education/Experience:

     

    • Associate’s degree or equivalent experience
    • Six (6) to Ten (10) years’ experience as an assistant supporting a company executive
    • Six (6) to Ten (10) years’ experience managing high volume phone, calendars, travel, coordinating group meetings and catering arrangements, expenses, office procurement and external media events
    • Two (2) to three (3) years’ experience with basic accounting/bookkeeping

     

    Mathematical Skills:

     

    Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, decimals and percentages.

     

    Language Skills:

     

    Ability to understand, read, write and speak English.  Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures or governmental regulations.  Ability to successfully write business correspondence.  Ability to effectively present information, respond to questions and professionally interact with managers, employees, clients, vendors and the general public.

     

    Reasoning Ability:

     

    Ability to recognize and define problems, collect data, establish facts, draw valid conclusions and correct errors.  Ability to understand and interpret basic financial data.  Ability to interpret a variety of instructions in a variety of forms and deal with abstract and concrete variables.

     

    Other Qualifications:

     

    Must be able to handle multiple, simultaneous tasks effectively and efficiently while maintaining a professional, courteous manner.  Must be able to work well with others.  Strong verbal and written communication skills required.  Must be detail oriented and organized.  High integrity, including maintenance of confidential information.  Must be able to exercise good judgment and positively influence and lead others, including handling confrontations with poise and efficiency.  Based on business need, the ability to work a flexible schedule, including some evenings and weekends as approved in advance.
