    We currently have an exciting opportunity for an Administrative Assistant III in our Nashville, TN location.

     

     

    The Administrative Assistant III is responsible for performing administrative support tasks that are secretarial in nature for the assigned Executives and Vice President(s). The assistant must be able to exercise professional judgment and confidentiality to complete the day-to-day tasks necessary to facilitate the duties required. Responsibilities include, but are not limited to, typing and composing correspondence, compiling reports, scheduling meetings, preparing agendas, travel itineraries, responding to routine correspondence, and responds to visitors and telephone calls.

     

    Responsibilities

    • Provide secretarial support including typing, dictation, composing and proofreading correspondence, indexing, and filing documents
    • Independently modify form letters to fit varying situations
    • Independently compose correspondence based on knowledge of policy and personal discretion
    • Deal with a diverse group of important external callers and visitors, as well as internal contacts at all levels of the Company
    • Coordinate information flow and inter-office communication, records, etc. Sorts incoming mail determining priority for handling
    • Answer inquiries or refers callers/visitors to appropriate individuals
    • Compose and type various styles of documents using programs within the Microsoft Office Suite
    • Maintain the calendars for assigned SVP(s), VP(s) and other Director(s) calendars as required
    • Maintain inventory of office supplies, business forms and letterhead and maintenance of equipment
    • Schedule/coordinate meetings and appointments
    • Arrange travel which may include airline, lodging, dining or ground transportation
    • Work independently or within a designated team on special nonrecurring and ongoing projects as assigned by the supervisor
    • Assist other department VP’s, directors, or managers as requested
    • Read and abide by the company’s code of conduct, ethics statements, employee handbook(s), policies and procedures and other corporate mandates, including participation in mandatory training programs
    • Report any real or suspected violation of the corporate compliance program, company policies and procedures, harassment or other prohibited activities in accordance with the reporting policies of the company
    • Obtain clarification of policy whenever necessary and may use the resources available through the Compliance, Human Resources or Legal Department to do so
    • Maintain the strictest of confidentiality

     

    Qualifications

    • Very strong written, oral, and interpersonal communication skills
    • Ability to effectively prioritize and execute tasks in a high-pressure environment
    • Experience working both independently and in a team-oriented, collaborative environment
    • Work independently with limited supervision

    Education/Experience:

    • Associate’s Degree and 5 or more years of related experience, or Bachelor’s Degree and 2 or more years of related experience, or equivalent combination of education and experience

    Computer Skills:

    • Microsoft Office Suite
    • CONCUR for travel related expenses
    • Proficient in internet research and use
    • Other software and tools as needed
